A personalized-products shop on Instagram went from manually answering quote requests hour after hour to operating with a 24/7 AI assistant, automated sales workflows, and a constant social media presence.

A business that grew faster than its operations

@printbypao began as an Instagram entrepreneurship project: personalized products —phone cases, mugs, T-shirts, and stationery— designed to each customer's request. What started as supplemental income became a brand with loyal followers, steady orders, and demand that grew week after week.

But growth brought a classic digital entrepreneurship problem: operations were not scaling at the same pace as sales. Paola spent hours every day answering direct messages about pricing, availability, and delivery times. Every quote required her personal attention. On weekends and at night, potential sales were lost simply because no one was available to respond.

On top of that came the pressure to maintain an active presence on Instagram: posting consistently, replying to comments, and creating attractive content. With all her time absorbed by daily operations, content moved to the back burner.


Three bottlenecks limiting growth

When we analyzed @printbypao's operation, we identified three critical areas that consumed time without adding proportional value:

  • Manual quotes: every customer with a pricing question required an individual answer, calculated by hand based on product, size, quantity, and type of personalization. The process took between 5 and 15 minutes per inquiry.
  • Limited availability: outside business hours, messages piled up without a response. Many potential customers, unable to get a price immediately, chose another option or simply forgot their interest.
  • Inconsistent content: without a publishing calendar or system, the Instagram feed saw spikes of activity followed by long silences. The algorithm penalized the inconsistency, and organic reach dropped.

Three automations that transformed the operation

1. OpenClaw — Online quote assistant

We implemented OpenClaw, JCB Cloud's AI assistant, integrated directly into the Instagram messaging flow. When a customer asks for a price, OpenClaw joins the conversation: it asks the necessary questions (which product, which design, what quantity), calculates the quote in real time based on @printbypao's catalog and pricing rules, and sends a complete response with price, delivery time, and payment instructions.

The assistant handles complex variations —volume discounts, material options, special sizes— without Paola needing to intervene. She only receives a notification when the customer confirms an order or when a situation requires human attention.

2. Social media automation

With n8n workflows, we built an automatic publishing system for Instagram. Content is scheduled in advance on an editorial calendar; the workflows handle publishing it at the optimal time, automatically answering frequently asked questions in comments ("Do you ship across Mexico?" → automatic response), and sending alerts when a comment requiring personalized attention is detected.

3. Automated sales pipeline

We created a follow-up workflow for quotes that did not convert: if a customer received a price but did not confirm their order after 24 hours, OpenClaw sends a friendly reminder with the quote and a clear CTA. We also automated order confirmations, shipping notices, and a post-delivery satisfaction survey.
